1. Your first hour in Moazaf

This guide is for the person who opens Moazaf for their company. It takes you from a new account to a workspace that is ready for your employees, documents and payroll. Most companies finish it in under an hour.

A workspace is your group's home in Moazaf. Inside it you add one or more companies (the legal entities on your trade licences), their offices, your departments, and the colleagues who will work with you.

2. Get access and create your account

moazaf.com › Request access

Moazaf accounts are currently opened by invitation. Ask for one on the website first.

  1. On moazaf.com, click Request access.
  2. Enter your Full name, Work email and Company. In Anything we should know? you can add how many companies and employees you manage.
  3. Click Request access. The Moazaf team reviews your request.
  4. When it is approved, you receive an invitation email. Click Accept invitation in it. The Create your account page opens with your email already filled in.
  5. Enter your Full name and a password of at least 10 characters, type it again in Confirm password, and click Create account.
  6. Moazaf shows Check your inbox. Open the email “Verify your email for Moazaf” and click Verify email. The link works for 24 hours.
The Request access page on moazaf.com, filled in.
The Create your account page, with the 14-day Business trial note.

No email after a few minutes? Check your spam folder, then click Resend email on the Check your inbox page.

3. Create your workspace and follow the setup wizard

After you verify your email, Moazaf opens Create your workspace.

  1. Enter your Company or group name, for example the name of your group.
  2. Check the Workspace address. Moazaf suggests one from the name. It appears in your links, so keep it short.
  3. Check Country, Time zone and Default language. Number of employees and Industry are optional.
  4. Click Create workspace. Your trial starts now.
The Create your workspace form, filled in for a trading group in Dubai.

The workspace address cannot be changed later. If your group name is in Arabic only, type the address yourself in English letters, numbers and dashes (for example alwaha-group).

Moazaf then walks you through four short steps. You can skip any of them and come back later.

  • First company

    What you do
Enter the legal name, legal form, emirate and trade licence details of your first company, then click Save and continue.
  • Modules

    What you do
Tick what you want to set up first: people, documents, fleet, payroll. This only changes your checklist; your plan decides what you can use.
  • Import

    What you do
If you keep records in Excel, click Download template, fill it in and click Import. You see a preview and any errors before anything is saved.
  • Invite team

    What you do
Enter a colleague's email, choose a role and click Send invitation. Repeat for each colleague, then click Finish setup.
The setup wizard: Add your first company, with the trade licence details.

Have the trade licence as a PDF or photo? Use Scan your trade licence at the top of the step. Moazaf reads the licence and fills in the form for you. Check the values before you save.

The Invite team step, with one invitation sent to the HR manager.

4. Your checklist on Home

When you finish the wizard, you land on Home. Scroll to the bottom and open the section Setup checklist. The card Get Moazaf working for you inside it lists what is still open:

  • Add your company
  • Add 5 employees
  • Upload 3 documents
  • Set reminder recipients
  • Invite a colleague

Click a line to go straight to that page. Each line is ticked automatically when it is done, and the card disappears when everything is ticked. The lines you see depend on the modules you chose in the wizard.

Home with the setup checklist highlighted.

Only members who may manage workspace settings see the wizard and the checklist: by default the Owner and Admins. Closed the wizard before the end? Click Continue setup on the checklist. After Skip setup and go to the dashboard, or once you reach the end, the wizard does not open again: do the remaining tasks from the checklist or from their own pages. Don't need the checklist? Click Hide checklist. It does not come back.

For HR and administrators

5. Add your other companies

Companies › New company

Add every legal entity in your group as its own company: each mainland LLC, free zone company and branch. Licences, employees and payroll belong to a company, and you can link vehicles and assets to one too.

  1. Open Companies in the menu and click New company.
  2. Under Identity, enter the Legal name (English) and, if you have them, the Legal name (Arabic) and the trade names, exactly as on the licence. Choose the Legal form and the Emirate.
  3. Under Trade licence, enter the Licensing authority (for example Dubai DET, DMCC or JAFZA), the Licence number, Issue date and Expiry date.
  4. Fill in what you have of Tax registration, Labour & immigration, Wage Protection System (WPS) and Contact. You can add these later.
  5. Click Create. The company profile opens.
  • The licence expiry date shows in the upcoming expiries on Home. For reminders before it is due, also add the trade licence as a document with its expiry date.
  • For this company's WPS salary files, fill in the WPS employer ID and the Agent routing code. WPS agent / bank is optional.
  • Role in the group: choose External sponsor for an outsourcing company that sponsors visas or employs staff for you. It is not counted as a group company in headcount or licence alerts.
  • The same licence number can be used only once per licensing authority in your workspace.

Smaller plans limit how many companies you can add. On the Business plan, and during the trial, there is no limit.

For HR and administrators

6. Add offices, departments and cost centres

Settings › Offices & sites

Add every office, warehouse, shop or work site. Each one belongs to a company and an emirate. Employees are linked to an office, and attendance uses the office location for check-in.

  1. Open Settings › Offices & sites and click Add office.
  2. Choose the Company, then enter the name in English and Arabic.
  3. Choose the Emirate and type the Address.
  4. If staff will check in by phone, enter the Latitude and Longitude of the entrance and the Geofence radius (m): 25 to 5,000 metres, or 150 if you leave it empty.
  5. Tick Head office for your main office, then click Add.
The Add office form with company, emirate, address and location.
  • Each company has only one head office. If you tick it on another office, the old one stops being the head office.
  • You also find a company's offices on its profile, in the Offices tab.
  • To find the latitude and longitude, right-click the office entrance in Google Maps on a computer and click the two numbers at the top of the menu to copy them.

Settings › Departments

  1. Open Settings › Departments and click New department.
  2. Enter the name in English and Arabic and a short Code, for example HR or FIN.
  3. To build a tree, choose a Parent department. Leave Limit to companies empty to use the department in every company.
  4. Click Create. Repeat for each department.
Settings › Departments with four departments and their codes.

Settings › Cost centres & projects

Cost centres, projects and clients are labels for money. Employees pick them on expense claims and finance uses them on costs, so you can see where the money goes. Click New cost centre, enter a unique Code (for example CC-100) and the name, leave Available for empty for all companies, and click Create.

Owners, Admins and HR Managers can change departments and cost centres. A department with sub-departments cannot be deleted. A cost centre that is already used cannot be deleted; archive it instead.

For HR and administrators

7. Invite colleagues and choose their roles

Settings › Members › Invite member

  1. Open Settings › Members and click Invite member.
  2. Enter the colleague's Email address and choose a Role (see the table below).
  3. Choose the Email language: English or Arabic.
  4. Optional: under Access scope, limit the colleague to some companies, departments or record categories. Leave it empty for full access within the role.
  5. Click Send invitation.
The Invite a member form with the list of roles open.

The colleague receives the email “You're invited to … on Moazaf” and clicks Accept invitation. They choose Create an account to accept (or Sign in to accept if they already use Moazaf), verify their email, and click Accept invitation once more. They then join your workspace with the role you chose.

  • Invitations are valid for 7 days. Under Pending invitations you can Resend, Copy link or Revoke an invitation.
  • Need a role with different rights? Open Settings › Roles & permissions, click Clone on a built-in role and change the copy.
  • Only an Owner can invite another Owner, and you can only give roles with rights you have yourself.

Employees who only need self-service (payslips, leave, check-in) are invited from their own profile in People, not from Members. See the People guide.

8. Switch between English and Arabic

Moazaf works fully in English and Arabic. In Arabic the screens read from right to left.

  1. Click the language button in the top bar: ع switches to Arabic, EN switches back to English.
  2. The page reloads in the other language. Moazaf remembers your choice on this browser and saves it as your preferred language.
Home, with the language button in the top bar highlighted.
  • You can also set it in Account & security › Profile › Preferred language. Open Account & security from your name in the top bar.
  • Reminder emails reach each member in their own preferred language. Extra reminder recipients who are not members get them in the workspace Default language (in Settings › Workspace).
  • Companies, offices and departments have an English and an Arabic name. Fill in both so each language shows a proper name.

9. Common questions

  • I didn't get the verification email.

    Answer
Check spam, then click Resend email. The link works for 24 hours. Check that you typed your work email correctly.
  • Do I pay during the trial?

    Answer
No. The 14-day Business trial needs no card. Before it ends, choose a plan in Settings › Plan & billing (see the Plans & billing guide).
  • We have several companies. One workspace or several?

    Answer
One workspace for the group, with each legal entity added as a company. People, documents and reports then cover all of them.
  • Can I change the workspace address?

    Answer
No. You can change the workspace name, country, time zone and default language later in Settings › Workspace.
  • I skipped the wizard. How do I go back?

    Answer
If you closed it before the end, click Continue setup on the checklist on Home. After Skip setup and go to the dashboard, or once you reach the end, the wizard does not open again: do each remaining step from its own page.
  • My colleague's invitation expired or got lost.

    Answer
Open Settings › Members. An expired invitation no longer shows under Pending invitations: click Invite member and send a new one. If it is still pending, click Resend, or Copy link and send it yourself.
  • I can't see Settings or the Add buttons.

    Answer
Your role does not allow it. Ask your workspace Owner to change your role in Settings › Members.
